  • Business Support Coordinator

    What’s the role?

    Our Business Support Coordinator plays a key role in supporting our team, ensuring our day-to-day work for both ourselves and our clients is smooth and aligned with our strategic goals. They provide support to both our internal and external projects by providing administrative support, monitoring project progress and overseeing our internal policies and processes.

    The Business Support Coordinator reports to the Lead Account Manager.

    This is a new role within our team – so there’s an exciting opportunity to put your own stamp on it and develop it further.

    Responsibilities

    As Business Support Coordinator you will:

    • Support client projects, including:
      • Assisting with preparing project proposals
      • Project set-up and running budget and progress reports
      • Preparing files for translation
      • Buddy checking design and translated assets
    • Assist our operations by providing supporting insights, including:
      • Running reports on team timesheets
      • Supporting ad-hoc bookkeeping and administrative tasks
      • Monitoring our internal review schedule and delegating as appropriate
    • Support Eximia’s marketing by assisting the Strategic Communications Lead with:
      • Keeping our client and prospect data up to date
      • Monitoring industry websites for awards and events, and managing submissions and team attendance as required
      • Reporting on engagement with our thought leadership, including web traffic, newsletter opens and LinkedIn reactions
      • Managing our website review calendar
    • Support the team in their day-to-day activities, including:
      • Supporting our quarterly team days
      • Organising team celebrations
      • Managing our calendar for team tech, L&D and other regular events
    • Improve efficiencies and quality in the way Eximia is run, including:
      • Challenging the process if alternatives exist
      • Supporting any opportunities to optimise our processes
    • Any other ad-hoc support as and when needed.

    This list is not exhaustive. We’re a small team, so we work in an agile way, giving you the opportunity to expand your skillset.

    About you

    You’ll be:

    • Detail-oriented, able to spot errors and discrepancies
    • Highly organised, capable of knowing the status of multiple tasks and projects
    • A strong collaborator, able to work to everyone’s strength to reach optimal outcomes
    • Curious and proactive, with the ability to prioritise
    • Autonomous, completing tasks with minimal supervision
    • People-focused, building relationships to support the whole team
    • Committed to continuous learning and sharing best practice with others
    • Willing to challenge the process – to challenge and to be challenged!

    The role is varied and requires you to work on your own initiative and thrive on multitasking, while being part of a growing and collaborative team.

    Essentials:

    • 3+ years in an operations or administrative role.
    • Tech savvy and strong use of all Microsoft Apps.

    Desirables:

    • Experience working in the employee communications sector OR share plan and reward.
    • Experience working for an agency / consultancy.
    • Experience working in a B2B environment.
    • Proficiency in a second language.

    Job specifics

    Location:

    Work wherever helps you reach exceptional outcomes.

    We work remotely and meet as an entire team quarterly. We’re all pros at virtual agile collaboration, so it’s all about working where is best for the task in hand. Ad hoc in-person collaboration is encouraged when scoping and for ideation.

    Travel to industry events may be required on occasion.

    Contract type:

    Permanent and full-time. Can be flexible and/or part-time for the right person.

    Salary range:

    £30,000–£35,000 per annum, depending on experience.

    Commencement date:

    We can be flexible but ideally we’d like you to join us in January.

    The successful candidate must have existing right to work in the UK by the start of their employment.
